Privacy Policy

1. Who we are
Calibrify ("Calibrify", "we", "us") is a software service operated by Kavoku LLC, a Pennsylvania limited liability company located in Quakertown, Pennsylvania, USA. This policy explains what personal data we collect through calibrify.app and the Calibrify application, how we use it, who we share it with, and the choices you have.

2. What we collect
Account and product data you provide. Your name, email address, company name, and password when you create an account; and the business records you enter into the product β for example contact and company records, deals, notes, activity logs, calibration and equipment records, and the content of emails and posts you author in Calibrify.
Data from connected third-party platforms. When you connect a social or publishing account (such as Facebook, Instagram, or LinkedIn), we receive OAuth access tokens, the identifiers and names of the Pages, profiles, or Instagram accounts you choose to connect, and β where you enable it β engagement metrics for content published through Calibrify. We only receive the permissions you approve during the platform's connection flow.
Usage and technical data. Log data such as IP address, browser type, pages visited, and diagnostic events, collected to operate and secure the service.
3. Data we receive from Facebook and Instagram (Meta)
When you connect a Facebook Page or Instagram account to Calibrify, we receive:
- Basic information about the Pages and Instagram accounts you select (IDs, names, profile details);
- Access tokens that allow Calibrify to act on your behalf; and
- The ability to publish content to those Pages and accounts.
We use this data for one purpose: to publish the content you author in Calibrify to the Pages and accounts you connected, and to show you the results. We do not sell this data, use it for advertising, or share it with any third party except the hosting subprocessors listed in Section 5, which store it on our behalf.
Retention and deletion. Access tokens and connected-account identifiers are kept only while your account connection is active. When you disconnect a platform in Calibrify, the associated tokens are deleted. You can also request deletion of all Meta-derived data at any time by emailing info@kavoku.com; we will complete the deletion within 30 days.
Revoking access. You can revoke Calibrify's access at any time from within Calibrify (Disconnect) or directly on Facebook under Settings & Privacy β Settings β Apps and Websites β Calibrify β Remove. Revoking access invalidates our tokens immediately.
4. How we use your data
- To provide and operate the service, including storing the records you create;
- To send emails and publish posts that you author, to the recipients and accounts you choose;
- To show you analytics about your own activity and content;
- To provide AI-assisted features (such as drafting and research) using the AI providers listed below;
- To secure the service, prevent abuse, and comply with legal obligations; and
- To communicate with you about your account and, with your consent, about our products.
Where EU/UK data protection law applies, our legal bases are performance of our contract with you, our legitimate interest in operating and securing the service, and your consent for marketing communications.
5. Sharing with third parties (subprocessors)
We do not sell your personal data. We share it only with service providers who process it on our behalf under contract:
- Microsoft Azure β application hosting, databases, and file storage;
- OpenAI (via Microsoft Azure AI Foundry) and Perplexity β AI features such as drafting and research; only the content needed for the specific request is sent;
- Resend β delivery of emails you author and transactional emails;
- Meta Platforms (Facebook/Instagram) and LinkedIn β publishing content on your behalf to the accounts you connect.
We may also disclose data if required by law, or as part of a merger or acquisition (in which case this policy continues to apply to your data).
6. Data retention
Account and product data is retained while your account is active and deleted within 30 days of account deletion, except where we must keep it longer for legal or accounting reasons. OAuth tokens for connected platforms are deleted immediately when you disconnect the platform or delete your account. Backups age out on a rolling basis within 90 days.
7. Security
All traffic is encrypted in transit (HTTPS/TLS). Access tokens and credentials are encrypted at rest. Access to production systems is restricted to authorized personnel. No system is perfectly secure; if we learn of a breach affecting your personal data, we will notify you as required by applicable law.
8. Your rights
Depending on your location, you may have the right to access, correct, delete, or export your personal data, and to object to or restrict certain processing. To exercise any of these rights, email info@kavoku.com from the address associated with your account. We respond within 30 days.
9. Cookies
We use strictly necessary session cookies to keep you signed in, and Azure Application Insights to collect aggregate usage and performance telemetry. We do not use third-party advertising cookies.
10. International transfers
Our services are hosted in the United States. If you access Calibrify from outside the US, your data is transferred to and processed in the US. Where required, we rely on standard contractual clauses with our subprocessors for such transfers.
11. Children
Calibrify is a business tool and is not directed at children. We do not knowingly collect data from anyone under 16.
12. Changes to this policy
We may update this policy from time to time. If we make material changes, we will notify account holders by email or an in-product notice before the changes take effect. The effective date at the top reflects the latest revision.
